Welcome to Inspire Counseling Center (“Inspire,” “we,” “us,” or “our”). This policy describes the terms governing use of www.inspirecounselingcenter.com (the “Site”) and our practices concerning personal information collected through the Site. By using the Site, you acknowledge these Terms of Use. If you disagree, please discontinue use.

PART I | TERMS OF USE

1. Purpose of This Website

Our Site provides general information about counseling, psychiatry, clinicians, locations, educational resources, and scheduling. Submitting an inquiry or appointment request does not establish a therapist-client or provider-patient relationship. A treatment relationship is established only through our formal intake and acceptance process.

2. Medical and Mental Health Disclaimer

Website content, including articles, videos, and educational resources, is informational and does not replace individualized professional medical or mental health advice, diagnosis, or treatment. Consult a qualified healthcare professional about your needs. If you are in immediate danger or experiencing an emergency, call 911 or visit the nearest emergency department. For suicide or emotional crisis support in the United States, call or text 988. Website forms and general contact channels are not monitored continuously and must not be used for emergencies.

3. Ownership and Intellectual Property

Unless otherwise indicated, Site content, including text, photographs, graphics, logos, videos, and downloadable resources, is owned by or licensed to Inspire. You may view or print content for personal, noncommercial purposes, subject to applicable law. Reproduction, distribution, modification, republication, or commercial use requires prior written permission unless otherwise permitted by law.

4. Website Security and Acceptable Use

Visitors must use the Site lawfully. Unauthorized access, interference with Site functionality, introduction of malicious software, security probing, or unauthorized automated collection of information is prohibited. We may restrict access when necessary to protect our systems or users.

5. Accuracy of Website Information

We make reasonable efforts to keep information accurate and current. Clinician availability, insurance participation, locations, fees, scheduling, and services may change. The Site does not guarantee appointment availability, insurance coverage, eligibility, or treatment outcomes. Contact our Intake Team for confirmation.

6. External Websites and Third-Party Links

The Site may link to external scheduling, educational, social media, and other services governed by their own terms and privacy practices. We do not control those services and encourage visitors to review their policies.

7. Disclaimer of Warranties

To the extent permitted by law, the Site and its content are provided “as is” and “as available,” without warranties of uninterrupted operation, error-free access, or suitability for a particular purpose. Nothing here excludes rights that cannot lawfully be excluded.

8. Limitation of Liability

To the extent permitted by law, Inspire is not liable for indirect, incidental, special, or consequential damages arising from use of or inability to access the Site. This provision does not limit liability that cannot legally be limited or waive rights concerning professional healthcare services or protected health information.

9. Changes to Terms of Use

We may revise these terms as our services, technology, or legal obligations change. Updates will be posted here with a revised date.

PART II | ONLINE PRIVACY POLICY

10. Our Commitment to Privacy

We recognize that seeking mental health services is personal. This section describes information collected through our public website. Information qualifying as protected health information (PHI) under HIPAA is governed by applicable HIPAA requirements and our separate Notice of Privacy Practices.

11. Information We Collect

When you submit an inquiry or contact form, we may collect your name, phone number, email address, and information you voluntarily include. Please avoid submitting sensitive clinical details through general contact forms. Depending on our website configuration, technical information may be collected automatically, such as IP address, device and browser characteristics, referring website, pages viewed, cookie identifiers, and interaction data.

12. Website Contact Forms and Service Providers

Our website uses Jotform to collect information through certain website forms. Submitted information may be transferred to Monday.com for inquiry management and administrative workflows. These vendors process information subject to applicable agreements and legal requirements. If the information is PHI, appropriate HIPAA safeguards and required Business Associate Agreements must be in place. An inquiry does not guarantee an appointment or establish a treatment relationship.

13. How We Use Your Information

We may use website information to respond to inquiries; assist with scheduling and intake; provide requested service information; operate, secure, and improve our website; assess website performance; and comply with law. PHI is used and disclosed only as permitted or required under applicable law.

14. Cookies, Analytics, and Online Advertising

Our website uses cookies, pixels, and similar technologies to support functionality, understand website activity, and evaluate advertising performance. The following tools are installed: Google Analytics, Google Ads, Microsoft Advertising, and Meta (Facebook) Pixel. Depending on configuration, these technologies may transmit IP addresses, device and browser identifiers, page visits, advertising interactions, and other website activity to their providers.

14.1 Technologies and Cookie Categories

  • Google Analytics: measures website traffic, visitor interactions, and general performance.
  • Google Ads: supports advertising and measurement of ad interactions and campaign performance.
  • Microsoft Advertising (Bing): supports measurement of ad interactions and campaign performance.
  • Meta (Facebook) Pixel: supports measurement of advertising performance and website interactions.
  • Essential cookies support core website functionality and security; optional analytics and advertising technologies support measurement and permitted advertising activities.

14.2 Sensitive Health Information and Tracking

Because our Site concerns mental health services, some website interactions may involve sensitive information. We seek to prevent impermissible disclosures of PHI through analytics and advertising tools. We do not authorize disclosure of PHI to advertising providers unless permitted by applicable law and any required authorization or other legal conditions have been satisfied. A visitor accepting cookies does not, by itself, provide HIPAA authorization where separate authorization is required.

14.3 Cookie Choices and Provider Policies

Visitors may be offered controls to accept, reject, or manage nonessential cookies and tracking technologies. Browser settings may also allow visitors to restrict or delete cookies. Some website functions may be affected. Where applicable, we honor legally required consent and privacy choices. Provider privacy information: Google, https://policies.google.com/privacy; Microsoft, https://privacy.microsoft.com/privacystatement; Meta, https://www.facebook.com/privacy/policy/.

15. How We Share Personal Information

We may share personal information with service providers supporting website hosting, security, online forms, administrative workflows, and technical operations, including Jotform and Monday.com. Our Site also incorporates Google, Microsoft, and Meta technologies for analytics and advertising measurement; depending on their configuration, visitor activity and identifiers may be transmitted to those providers. The classification and legality of these disclosures depend on the information involved, contracts, settings, and applicable law. We may also disclose information when required or permitted by law, including valid legal process and security protection. PHI is governed by HIPAA and our Notice of Privacy Practices. We do not sell patient medical records or PHI.

16. Communications by Email, Telephone, and Text Message

When you provide contact information and request a response, we may contact you using legally permitted channels. Email and ordinary text messaging may not provide the security of designated healthcare systems. We encourage use of approved secure methods for clinical information. Where required, we obtain consent for automated or marketing messages and provide applicable opt-out options. We do not share your phone number or SMS opt-in information with third parties for marketing purposes. You may opt out of text messages at any time by replying STOP, or reply HELP for assistance. Message and data rates may apply.

17. Children’s Privacy

Our public website is primarily intended for adults, including parents and legal guardians. Children under 13 should not submit information through general website forms without parent or guardian involvement. Information concerning minors in healthcare contexts is handled under applicable federal and Illinois laws, including relevant confidentiality rights.

18. Data Security

We employ administrative, technical, and physical safeguards designed to protect information against unauthorized access or misuse. No electronic system can be guaranteed completely secure. Do not include sensitive clinical details in general website contact forms unless directed to an approved secure channel.

19. Data Retention

We retain information for periods reasonably necessary for the purposes collected, legal obligations, dispute resolution, and legitimate operations. Retention varies by information type. PHI and medical records are subject to separate requirements and policies.

20. Your Privacy Choices and Rights

Depending on applicable law, you may have rights concerning access, correction, or choices relating to certain personal information. HIPAA rights regarding PHI are described in our Notice of Privacy Practices. Contact us using the information below for privacy inquiries.

21. Third-Party Websites and Social Media

External websites and social media platforms operate under their own privacy policies. Avoid posting confidential clinical information publicly or using social media to request emergency help.

22. Updates to This Privacy Policy

We may update this policy as our technology, operations, or legal requirements change. Revised language and dates will be posted on this page.
